FACILITIES AND RECEPTION COORDINATOR – LONDON

Your role will include:
- Meet and greet guests in a confident and professional manner
- Answer and field telephone calls
- Respond to email based enquiries
- Ensure the reception and meeting rooms are clean and stocked before and after meetings and training sessions
- Distribution of incoming post, franking and manage collection of outgoing post
- Book couriers
- Booking taxis
- Breakdown of Facilities Manager credit card expenses
- Managing data collection for Carbon Neutral certification
- Ordering stationery and other office supplies
- Ensuring notices and certificates are displayed and up to date
- Assisting the Facilities Manager and Assistant Manager
- Working under the direction of the Facilities Team to assist with the general organisation and upkeep of the London Office i.e. PAT Testing, fire safety, health and safety, maintenance and security
- Liaising and coordinating with external contractors and suppliers
- Reporting and managing issues that arise around the London office
- Following up of such issues
- Inspect and manage the maintenance and upkeep of the company accommodation to a high standard
- Monitor all utility bills associated with the company accommodation
- Fleet management of company cars
- Including arranging MOT’s, services and repairs
- Monitoring vehicle tax renewal dates and driver declarations
- Assist the Facilities Team with ISO 9001 and 14001 certifications
- Coordinating security at Head Office including access cards
- The negotiation of new contracts and leases
Requirements:
- Previous working experience working in in-house Facilities
- Good problem solving skills
- Excellent organisation and time management
- High sense of urgency and ability to work to deadlines
- High level of attention to detail and the ability to manage various tasks with varying priorities
- Strong verbal and written communication skills
- Reliability and steadiness and calm under pressure
- Willingness to get involved no matter what the job
